Privacy Policy
Effective October 5, 2026
This policy explains how Roh and Rose Inc., dba Rohova Studios (“we”) handles personal information collected through rohovastudios.com, including our portrait booking pages and our studio release (waiver) form.
What we collect
- Information you give us when you book or request a session: your name, email address, phone number, the time you choose, and anything you write in the notes field.
- Information on a studio release you sign before a shoot at our studio: the participant’s name, email address, phone number, company or role, and the project and shoot date; an emergency contact’s name, phone number and relationship; any allergies or health conditions you choose to tell us about; a parent or guardian’s name if the participant is under 18; and your initials and electronic signature. As a record of signing, we also store the date and time, your IP address and browser type.
- Payment information is entered on Stripe’s secure checkout page and processed by Stripe. We receive confirmation of payment, the amount, and limited card details such as brand and last four digits. We never receive or store your full card number.
- Technical information. Like most websites, our hosting provider (Cloudflare) processes basic request data such as IP address and browser type to deliver and secure the site. We do not use advertising cookies, analytics trackers, or tracking pixels.
How we use it
- To schedule and confirm your session, send your confirmation, calendar invite, and receipt, and contact you about your booking.
- To deliver your images and respond to your questions.
- To keep a record of signed studio releases, keep everyone safe on set, and reach your emergency contact if needed. We use allergy and health information only for on-set safety.
- To keep records required for our business, taxes, and payment disputes.
We do not sell or rent your personal information, and we do not share it for advertising.
Who we share it with
We share information only with service providers that help us run our business, and only as needed:
- Stripe for payment processing.
- Cloudflare for website hosting and storage of booking and release records.
- Google (Workspace email and calendar) to send confirmations and copies of signed releases, and manage our schedule. Our pages also load fonts from Google Fonts, which receives your IP address when fonts load.
We may also disclose information if required by law.
Tracking and “Do Not Track”
We don’t track you across other websites, and we don’t allow third parties to collect information about your online activities over time and across sites through our website for advertising. Because we don’t do this kind of tracking, our site works the same whether or not your browser sends a “Do Not Track” signal.
How long we keep it
We keep booking records for as long as needed to provide our services and meet legal, tax, and accounting obligations, generally up to seven years for payment records. We keep signed studio releases for at least four years after the shoot, and for a participant under 18 until at least two years after they turn 18, because they may be needed if a claim arises.
Reviewing or changing your information
To review, correct, or ask us to delete your information, email contact@rohovastudios.com. We’ll respond within a reasonable time. We may need to keep certain records, such as payment records and signed releases, where the law requires or where we may need them to respond to a claim.
Children
Our booking pages are for adults. A parent or guardian may sign a studio release for a participant under 18 and provide that participant’s details. We don’t knowingly collect information directly from children under 13.
Changes to this policy
If we make material changes, we’ll update this page and its effective date. Continued use of the site after changes means the updated policy applies.
